COORDINATION

Month-of Coordination is for the couple who wants the experience of planning their own wedding but acknowledges the need for a professional hand in executing the logistics.

Unlike the name implies, we start the coordination process much sooner than the month of the wedding. Upon booking, we get you setup with our collaborative online planning software, we provide vendor referrals and create preliminary documents (hello, timeline!) for you to work from as you proceed with planning.

The month of the wedding is when the bulk of the coordination begins with your vendor team. We’ll make sure everyone is on the same page to ensure the day runs seamlessly, and on the wedding day, we’ll be there to direct your wedding party and vendors as well as running the timeline of events throughout the day.

Shoreline Event Design is proud to partner with Westers Family Vineyard and Winery to provide Month-of Wedding Coordination services to all couples who book their wedding at this venue. Our experienced on-site coordinators are familiar with the venue’s capacities and policies, working both on behalf of the venue and our clients to create a seamless experience for our couples and their guests.

How Coordination Works:

Month-Of Coordination focuses on logistics and vendor management. Here’s the breakdown of our workflow:

Upon Booking or One Year Out

  • Onboarding Meeting

    • We get you set up with our online planning system (A perk of working with us!)

    • We take you through a questionnaire to see where you’re at in the planning process

After The Onboarding Meeting

  • We give vendor recommendations, an outline of your wedding day timeline and a tentative ceremony and reception floor plan (as applicable) to work from.

  • You’re welcome to email us with any questions or concerns as you finalize your plans.

10-Weeks Out from the Wedding — Week of the Wedding

  • (2) Final Planning Meetings

    • Go through the timeline and floor plan to edit and finalize.

    • Go through the ceremony, reception and decor document to finalize details.

  • We reach out to all of your vendors to confirm details we discuss in the final planning meeting.

  • Finalize all event details and send final documents to all of the vendors

Week of the Wedding

  • Run the ceremony rehearsal with officiant (if applicable)

  • Onsite for the wedding day (with one assistant) from Noon - 11 pm. Typical responsibilities and tasks include:

    • Fold and place linen napkins

    • Assist with limited decor setup (Signage, place cards, menu cards, favors etc.)

    • Greet and assist vendors with setup and questions

    • Pin on boutonnieres and pass out personal flowers

    • Execute the timeline

      • Keep hair & makeup, photography and wedding party on schedule

      • Direct guests to ceremony location and cue ceremony music and wedding party processional

      • Help direct guests throughout the event

      • Cue DJ, Catering staff and other vendors and key parties in reception major moments

    • Handling any unexpected issues or questions

    • Handle any movement of furniture or decor from ceremony to reception (exceptions include large decor items or floral installations)

    • Consolidate decor and assist with decor organization at the end of the night
